How Proofed Works

What is Proofed?#

Proofed adds a structured approval workflow to custom orders inside Shopify. Instead of chasing customers over email, you send a proof link directly from the order page — the customer reviews and approves (or requests changes) in one click.

The Workflow at a Glance#

1. Order arrives — new Shopify orders are automatically synced into Proofed (or synced manually with one click).
2. You create the proof — upload a proof image or use the built-in design editor to create proofs and cut files for each line item.
3. You review and send — proofs are not sent automatically. You review first, then explicitly send them to the customer.
4. Customer reviews — the customer receives an email with a secure link to the approval portal. No login required.
5. Customer decides — they approve the proof, or request a revision with comments.
6. You fulfil — once approved, download production-ready files (proof images, cut files, cropped PDFs) and fulfil the order.

Each status change is reflected in the app, on the Shopify order (via customisable tags), and via email notifications to all parties.
