Proofed sends automated emails at key points in the proof workflow and lets you create reusable message templates for common notes.
Email Notifications#
Email Types#

What's Included#
- Professional HTML templates.
- A secure portal link in customer-facing emails.
- Proof image and cut file links in merchant notifications.
- Reply-to is set to your Shopify shop email, so customer replies go straight to you.
Custom Sender Name#
By default, emails are sent from "Proofed". On Studio plan and above, you can set a custom sender name in Settings — for example, "Lulu Labels via Proofed" — so emails appear to come from your brand.
Custom Logo#
On Studio plan and above, your uploaded logo appears in email headers alongside the portal branding.
Message Templates#
Message templates let you create reusable notes that are sent alongside proofs — saving you from retyping common messages.
Creating a Template#
- Go to Settings → Message Templates.
- Click Add Template.
- Enter a name (e.g. "First proof attached", "Logo revision", "Final artwork for review").
- Write the template body.
- Click Save.
Using Templates#
Templates are available in two places:
- Order detail page — select from the dropdown when uploading proofs.
- Design editor — select before saving the proof.
Default Template#
Mark one template as the default and it will auto-populate the note field whenever you create a new proof. You can always change or clear it before sending.
