Dashboard, Kanban & Archiving
Manage proof orders in Proofed — list and Kanban views, search, status and date filters, status counts, pagination, and archiving finished work.
The dashboard is your production queue: every order, its proof status, and who's holding things up — at a glance.
List view#
The default view shows orders newest-first with their status badge, customer, and products. You can:
- Search across order number, customer name, email, and product titles
- Filter by status — one, several, or show archived orders
- Filter by date — today, last 7 / 30 / 90 days, or all time
- Sort ascending or descending by date
- Paginate at 25, 50, or 100 orders per page
Live status counts across the top show how many orders sit in each stage — a permanent answer to "what's waiting on us vs. waiting on customers?"
Kanban view (Studio and above)#
On Studio, Pro, and Scale plans you can switch the dashboard to a Kanban board — one column per status, with order cards you drag between stages. It's the fastest way to run a busy proof operation:
- Pending Design column = your design team's to-do list
- Awaiting Approval column = who to remind
- Revision Requested column = today's rework
- Approved column = ready for production
Switch between List and Kanban in Settings → Dashboard.
Syncing orders#
New orders stream in automatically via webhook the moment they're placed. The Sync button pulls in recent orders manually — useful right after install, or if you want to bring in orders that predate the app.
Archiving#
Archiving removes an order from the active workflow without pretending it was approved — for cancellations, tests, or jobs proofed elsewhere. Archive from the order's detail page; archived orders:
- Get the
Proof: ArchivedShopify tag (customisable) - Are hidden from the dashboard unless you toggle Show archived
- Stay archived — the status derivation never un-archives an order
Archive aggressively. A dashboard that only contains live work is one your team actually trusts.
